Definitions

In these Terms & Conditions, “Company”, “we”, “us”, or “our” refers to LUNA TIDES Productions Ltd (company number 14728391), trading as as Times Two Weddings. 
“Client” refers to the person or persons booking our services. “Services” refers to the video production services provided by us. “Deliverables” refers to the final films and content delivered to the Client. “Agreement” refers to these Terms & Conditions together with any agreed quotation, booking confirmation, or written correspondence confirming the services.

About Us

LUNA TIDES Productions Ltd is a UK-based wedding film team creating cinematic, story-led films. By booking our services, you agree to these Terms & Conditions.

Booking & Payment

Your booking is confirmed once a signed agreement has been received and a non-refundable booking fee has been paid. Until both are in place, your date is not secured, and we reserve the right to accept other bookings for the same date.

 

The booking fee secures your date and covers initial administration and pre-production work. The remaining balance is due 28 days before your wedding date. We reserve the right to withdraw services or withhold delivery if payment is not received on time. All usage rights to your film are granted only once full payment has been received.

 

In the event that you need to reschedule your wedding date, we will make reasonable efforts to accommodate this, subject to availability. If we are unavailable for the new date, this will be treated as a cancellation.

 

For bookings made within 28 days of the wedding date, full payment will be required at the time of booking. All bookings and agreed services must be confirmed in writing. Quotations are valid for a limited period and may be subject to change if not accepted within that timeframe.

Client Responsibilities

The Client is responsible for ensuring that all necessary permissions, licences and consents are obtained in advance of filming. This includes, but is not limited to, venue permissions, music rights, performances and any third-party materials that may form part of the final film.

 

The Client must ensure that we have clear and uninterrupted access to all relevant locations, that a workable schedule is provided and that sufficient time is allocated to capture key moments throughout the day. Where access, permissions, timing or restrictions imposed by venues or officiants limit filming, we cannot be held responsible for any resulting limitations in coverage.

 

The Client is responsible for ensuring that all individuals present at the event are aware that filming is taking place where appropriate, and for facilitating a cooperative environment for filming. This includes the cooperation of guests, attendees and other suppliers where necessary.

 

The Client is also responsible for ensuring that all information provided to us is accurate and up to date, and for communicating any changes to timings, locations or key details as soon as reasonably possible.

 

These responsibilities directly impact our ability to deliver the Services as described. For further details on how this may affect coverage, please refer to the “Filming Limitations” and “Our Approach” sections.

Our Approach

We take a documentary, unobtrusive approach to filming, focusing on capturing natural moments as they unfold rather than staging or directing events. Our work is guided by the real flow of the day, allowing moments to happen organically without interruption.

 

By booking our services, you acknowledge and accept our creative style as represented in our portfolio. We do not replicate specific shots or follow a fixed shot list, and each film is shaped by the unique events of the day.

 

We do not direct or control events unless agreed in advance. Our role is to observe and capture rather than intervene, and this may influence how certain moments are recorded.

 

All filming and editing decisions are made at our professional discretion to create a cohesive and authentic film that reflects the overall story and atmosphere of your wedding.

Filming Limitations

Filming is subject to conditions outside of our control, including venue rules, lighting, available space, weather, schedule constraints and the behaviour of guests and other suppliers.

 

These factors may affect what can be captured on the day. This can include restricted movement during ceremonies, limited access to certain locations, low-light environments or interruptions during key moments.

 

While we will always work professionally and adapt where possible, we are not responsible for any limitations to coverage caused by these conditions.

 

We cannot guarantee the capture of specific moments, particularly where circumstances prevent access, visibility or uninterrupted filming.

 

Any such limitations are considered part of the nature of live event filming and do not constitute a failure to deliver the Services.

Weather Conditions

Filming is subject to weather conditions on the day. Where, in our reasonable opinion, conditions pose a risk to health and safety, equipment or the ability to capture suitable footage, we reserve the right to adjust filming times, locations or coverage accordingly.

 

This may include limiting or removing certain elements such as outdoor filming or drone use where conditions are unsuitable. While we will always make reasonable efforts to adapt and capture the day as fully as possible, certain outcomes may not be achievable due to weather.

 

Where appropriate, we may suggest alternative arrangements, however any changes are subject to availability and cannot be guaranteed.

 

Weather-related adjustments or limitations do not constitute a failure to deliver the Services.

Health & Safety

We take health and safety seriously and reserve the right, in all circumstances, to stop filming or remove personnel and equipment from a location if we believe conditions to be unsafe or if our team is subjected to inappropriate, abusive or aggressive behaviour.

 

In such circumstances, the Client will remain fully liable for any costs incurred or arising as a result, and no refund will be provided.

 

We will comply with all applicable site safety requirements and, where relevant, liaise with the appropriate responsible person for the venue or event.

Client Delays & Changes

If filming is delayed, disrupted or restricted due to schedule overruns, lack of access, venue constraints or other circumstances outside of our control, we reserve the right to adjust coverage accordingly.

 

Where delays result in additional time, resources or extended attendance beyond what was agreed, this may incur additional charges.

 

If the Client requests changes to the agreed schedule, locations or arrangements, we will make reasonable efforts to accommodate these where possible. However, we cannot guarantee the ability to fulfil requests that fall outside the original agreement.

Creative Control

We retain full creative control over all aspects of filming and editing, including style, structure, and music selection unless otherwise agreed in advance. All final films are delivered in line with our portfolio and established creative approach.

Delivery

Films are typically delivered within 8–12 weeks of your wedding date, although this may vary during peak periods.

 

Delivery timeframes are estimates and may be affected by factors such as workload, complexity of the project and timely communication or feedback from the Client.

 

Final films are delivered digitally via an online platform in standard formats suitable for viewing and sharing. It is the Client’s responsibility to download and store the delivered files upon receipt.

 

While we will always make reasonable efforts to deliver within the stated timeframe, delays caused by factors outside of our control do not constitute a failure to deliver the Services.

Revisions

One round of reasonable revisions is included within your package following delivery of the initial edit.

Revisions are intended for minor adjustments and refinements, such as small edits to pacing, music or shot selection. They do not include substantial re-edits, changes to the overall structure, or alterations to the creative direction of the film.

Any additional revisions or requests outside the agreed scope may incur an additional fee.

Music Licensing

All music used in your wedding film is licensed through third-party providers for use within your film.

 

These licences are intended for personal use, including sharing your film with friends, family and on personal social media platforms. We cannot guarantee how third-party platforms may treat licensed music, and in some cases audio may be muted or restricted due to platform-specific policies.

 

The Client must not replace, alter or edit the music within the film without prior written consent, as this may invalidate licensing terms.

 

Any commercial use of the film may require additional licensing and is the responsibility of the Client.

Copyright & Usage

We retain full copyright over all footage captured and produced.

Upon full payment, the Client is granted a non-exclusive, perpetual licence to use the final delivered film for personal purposes, including viewing, sharing and posting on personal social media platforms.

The Client must not alter, edit or modify the film in any way without prior written consent. This includes changes to the edit, structure, music or any other element of the final deliverable.

The licence granted does not extend to commercial use. Any commercial use of the film requires prior agreement and may be subject to additional licensing.

We may use selected footage for our portfolio, website, social media and promotional purposes. Any such use will be undertaken in a respectful and considered manner, taking into account the nature of the content and the context in which it was captured.

All rights to the footage remain with us unless otherwise agreed in writing.

Changes to Scope

If the scope of the Services changes following booking, whether due to Client requests or changes in circumstances, we reserve the right to adjust the scope of work and associated pricing accordingly. This may include, but is not limited to, additional filming time, extended coverage, additional edits or changes to the agreed deliverables.

 

Where possible, any changes will be discussed and agreed in advance. We are not obligated to undertake work that falls outside the original agreement unless confirmed in writing.

Data & Storage

We retain project files and footage for a limited period following delivery. Unless otherwise agreed, raw footage and project files are typically stored for up to six months from the date of delivery, after which they may be permanently deleted. Final films may be retained for longer periods, however we do not guarantee indefinite storage. Clients are responsible for securely storing their final deliverables once received. We retain client information and records as required for administrative, legal and accounting purposes.

Equipment Failure & Force Majeure

In the unlikely event of equipment failure, we will make every reasonable effort to resolve the issue or continue coverage using backup equipment or suitable alternatives. Where it is not possible to continue or complete the agreed Services due to equipment failure, our liability shall be limited to a refund proportionate to the affected portion of the coverage.

We are not liable for any failure or delay in delivering the Services where such failure arises from circumstances beyond our control. This includes but is not limited to illness, injury, severe weather, venue restrictions, supplier failure, technical issues beyond our control or government action. In such circumstances, we will make reasonable efforts to minimise disruption and, where appropriate, discuss alternative arrangements.

Liability

We will provide the Services with reasonable skill and care. However, our liability in connection with the Services shall be limited to the total amount paid by the Client.

 

We are not liable for any indirect or consequential loss, including but not limited to loss of enjoyment, loss of opportunity or any perceived loss arising from the content or style of the final film. We are not responsible for dissatisfaction based on subjective preferences relating to creative style, editing choices or artistic interpretation, where these are consistent with our portfolio and agreed approach.

 

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, or for any liability which cannot be excluded under applicable law.

Travel & Expenses

Travel within South Wales is included as part of your package. For weddings taking place outside this area, additional travel or accommodation costs may apply. This may include situations where extended travel is required or where early start times or late finishes make same-day travel impractical. Where accommodation or additional travel arrangements are required, these will be discussed and agreed in advance.

Drone Usage

Where applicable, drone footage may be included as part of your wedding film. Drone operation is subject to suitable weather conditions, location restrictions and applicable laws and regulations.

 

All drone use is conducted in accordance with the requirements set by the Civil Aviation Authority (CAA). This includes restrictions relating to airspace, proximity to people and buildings, and safe operating conditions. Drone footage cannot be guaranteed and may not be possible in certain locations, including venues with restricted airspace, high-density areas or where permission has not been granted. Where drone use is not possible, we will continue coverage using alternative methods.

Complaints

If you have any concerns in relation to the Services, we encourage you to contact us as soon as reasonably possible so that we can address the matter. We will make reasonable efforts to resolve any issues in a fair and timely manner.

Data Protection

We process personal data in accordance with applicable UK data protection law.

 

Personal data provided to us will be used for the purposes of managing bookings, delivering the Services and communicating with the Client. This may include sharing information with trusted third parties where necessary to support delivery of the Services.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Acceptance

By confirming a booking, the Client acknowledges that they have read, understood and agreed to these Terms and Conditions.
